Compare operating models
Ready-made and custom CRM systems solve different constraints. A standard product can provide established workflows and managed updates. A custom system can express specific data relationships and operational rules. Neither option removes the need for process ownership.
A hybrid setup is often worth evaluating: keep a standard system for ordinary contact management and add a portal or integration for the specialised workflow.
Use a weighted decision record
| Criterion | Evidence required |
|---|---|
| Workflow fit | A demonstration of your real approval and exception paths |
| Permission model | Isolation tests using different roles |
| Integration access | API documentation, limits and a working proof |
| Data portability | A usable export including relationships and attachments |
| Ownership | Named responsibility for configuration, incidents and change |
| Total cost | Implementation plus recurring operation under realistic usage |
Assign importance before scoring products. Otherwise a polished demo can change the criteria after the comparison has started. Record unknowns explicitly rather than awarding optimistic points.
Test the exit as well as the entry
Ask how to export records, files and history. Confirm whether identifiers and relationships survive. For a custom build, agree repository access, deployment instructions, ownership terms and the format of backups and restoration procedures.
For migration, map fields and statuses, identify duplicate records, test a small sample and reconcile counts. Keep an agreed rollback or parallel-run window. Do not remove the source system merely because the new interface looks correct.
Decide on one complete workflow
Run the same customer-to-project scenario in each candidate. Include reassignment, an incorrect entry and a permission change. Choose the option whose trade-offs the team can operate sustainably.
Hillside CRM is presented as a delivered internal system without exposing its private records. It is a portfolio reference, not proof that the same architecture fits your team. Bring your workflow to a CRM discovery discussion.
A practical question
What should a CRM exit test include?
Export contacts, related records and attachments; restore a sample into a usable structure. Check relationships and permissions, not just the number of CSV rows.
